Definition:

This is a professional position that ensures the preservation of and access to records of permanent historical value, held at the Missouri State Archives-St. Louis.

Under the general supervision of the Administrative Archivist and direct supervision of the Supervising Archivist, the Reference Archivist performs necessary work to assure the accessibility and dissemination of historically accurate information to researchers.

This position contributes to the MSA-STL by performing a variety of standard archival duties, including, but not limited to providing reference, arranging, describing and creating finding aids. The collection is primarily paper records created prior to 1876.

Job Functions and/or General Responsibilities:

  • Performs direct archival research for government agencies, the public, scholars, attorneys, etc. and explains research methods to researchers.
  • This position is responsible for providing records management and archival preservation advice and assistance to local government offices within the City of St. Louis and St. Louis County.
  • The archivist consults with public officials on records creation, maintenance, storage, and disposition issues; provides advice and information on public records concerns, micrographics and other imaging technologies, records filing, storage systems, disaster recovery and assistance; and conducts workshops/presentations to meet the needs of local officials.
  • The archivist carries out the following direct program efforts: identifying and appraising record series, conducting records inventories, implementing approved retention schedules, employing the efficient use of storage space and equipment, arranging and describing government records, performing basic conservation treatments, and preparing records for microfilming and digitization.
  • The archivist assists in the administration and oversight of Local Records grant projects.
  • Establishes intellectual control over records and promotes access to them by creating descriptions that definitively represent the material.
  • Identifies records' conservation problems and makes recommendations for preservation.
  • Promotes the MSA-STL through speaking engagements and participation in professional organizations.
  • Trains and monitors volunteers and student interns.
  • Performs all other tasks as assigned.

Knowledge, Skills, and Abilities:

  • Knowledge of archival and records management principles and practices.
  • Familiarity with various types of local government offices and records series.
  • Ability to establish and maintain effective working relationships with associates, public officials, private groups, and the public.
  • Ability to express ideas clearly and concisely orally and in writing.
  • Must be able to drive locally for day trips and engage in a modest amount of overnight travel. Use of personal vehicle is required, mileage reimbursed.
  • Broad knowledge of Missouri history.
  • Familiarity with Microsoft Office

Qualifications:

A master's degree in history, archival administration, historical administration, or library science (with an archival component) is preferred. Must be able to lift and carry a forty-pound box, climb a ladder to retrieve materials, and work in varied environments which may contain dust and mold. If not presently a Certified Archivist, must agree to seek certification from the Academy of Certified Archivists as soon as qualified to do so (Certified Archivist requires a master's degree and 2 years of experience). Possession and continued maintenance of a valid Missouri driver's license is required.
