This is a professional position that ensures the preservation of and access to state-created records of permanent historical value regardless of format.

Under the general supervision of the Reference Services Manager, the Reference Archivist performs necessary work to assure the accessibility and dissemination of historically accurate information to researchers.

This position contributes to the State Archives by performing a variety of standard archival duties, including, but not limited to providing reference, accessioning, arranging, describing and creating finding aids for state-created records. The archivist may be asked to work with both physical and electronic records and to work with content management software.

Job Functions and General Responsibilities:

  • Performs direct archival research for government agencies, the public, legislature, scholars, attorneys, etc. and explains research methods to researchers.
  • Assists Reference Services Manager with:
    • Training and supervising interns, and volunteers in reference policies and procedures;
    • Providing in-house tours, programs and workshops.
  • Catalogues monographs and family and community histories received by the State Archives.
  • Provides processing of all permanent state-created records, regardless of format, transferred to the State Archives.
  • Establishes intellectual control over records and promotes access to them by creating descriptions that definitively represent the material.
  • Identifies records' conservation problems and makes recommendations for preservation.
  • Promotes the Missouri State Archives through speaking engagements and participation in professional organizations.
  • Assists with content development for social media.
  • Performs all other tasks assigned by the State Archivist or Reference Services Manager.

Knowledge, Skills and Abilities:


  • Knowledge of archival principles and established archival practices related to the collection and disposition of public records.
  • Knowledge of sources, methods, and techniques used in historical research.
  • Basic knowledge of cataloging practices and procedures.
  • Some knowledge of principles and practices of supervision.
  • Proficiency in expressing ideas clearly and concisely orally and in writing, including publications and public presentations.
  • Ability to establish and maintain effective working relationships with associates, public officials, private groups and the public.


  • Broad knowledge of Missouri history and the organization of state agencies.
  • Experience with content management software and database management.
  • Knowledge of records lifecycle management including disaster prevention and planning.
  • Knowledge of digital preservation standards and best practices.


  • A master's degree in history, library science (with an archival and/or information science focus), computer science or other related field is strongly preferred.
  • Must be able to lift and carry a forty-pound box of records and climb a ladder to retrieve materials.
  • Certified Archivist and/or Certified Records Manager designation or the commitment to obtain such as soon as qualified to do so.
  • Must possess a valid Missouri driver's license or be able to secure one within 30 days of employment.
  • Occasional travel required, including evening and weekend hours.
