Description: 

This essential technical/paraprofessional position is responsible for support of reader services for Wolfner Library. Reports to the Reader Services Manager, Wolfner Library; Supervision is of a general nature through designation of program and functional areas of responsibility.

Job Functions and General Responsibilities:

General Wolfner communications support: 

  • Prepares copies for mailings as directed. Completes mailings by printing labels, compiling materials and packing according to postal requirements.
  • Sorts and delivers incoming mail, routes materials to staff, receives and signs for packages and deliveries to Wolfner Library. 
  • Answers the telephone, provides information to libraries and the public, routes calls and inquiries to staff, takes messages, and makes referrals.
  • Manages Wolfner Library mailbox by responding to requests for applications, forwarding inquiries/information to reader services team and forwarding emails from vendors to appropriate staff.

Office Duties:

  • Provides high quality customer support to patrons.
  • Signs up patrons for book clubs, workshops, listserv and programs when patron calls in.
  • Assists reader services staff, librarians, Reader Services Manager and Director with projects and compiling data for reports.
  • Maintains good working relationship with the Fiscal and Facilities Division, Mailroom, and other departments of SOS.
  • Ensure applications for service, promotional information, catalogs, etc. are distributed as requested.
  • Greets walk in patrons and volunteers and calls appropriate staff to work with them.
  • Ensure phones are set for receiving voice mail during the hours Wolfner is not open.
  • Checks fax machine for incoming applications daily.
  • Contacts IT for printer support when needed.
  • Special projects include stuffing envelopes and preparing packets for mailing.

Maintains files and records for Wolfner:

  • Maintains patron files and retrieves materials when needed; keeps patron application file current, filing new applications, transfer papers, etc. as received, weeding applications for patrons reported deceased and for patrons who have canceled service or transferred to another state, etc.
  • Weeds other files as directed or determined by records retention schedule.
  • Tally monthly statistics from Wolfner inquiry forms.

Database support:

  • Uses Keystone Library Automated System (KLAS) database to enter and update patron applications and contact information changes.
  • Distributes applications to the reader services team after entering information into KLAS.
  • Enter patron mail in book requests into patron files in KLAS database.

Maintains files and records for Wolfner:

  • Maintains patron files and retrieves materials when needed; keeps patron application file current, filing new applications, transfer papers, etc. as received, weeding applications for patrons reported deceased and for patrons who have canceled service or transferred to another state, etc.
  • Weeds other files as directed or determined by records retention schedule.
  • Tally monthly statistics from Wolfner inquiry forms.

Performs all other duties as assigned by the Reader Services Manager or the Director of Wolfner Library.

Knowledge, Skills and Abilities:

  • Good oral and written communication skills.
  • Advanced keyboarding, data entry, word processing, and computer navigation skills.
  • Experience with Microsoft Office applications.
  • Ability to work as member of a team.
  • Ability to learn new processes and new software applications quickly.
  • Ability to check own work for accuracy.
  • Ability to prioritize assignments and complete duties to meet deadlines.
  • Ability to manage several assignments simultaneously, manage work time and processes effectively in order to meet deadlines.
  • Ability to follow directions.
  • Ability to lift up to 50 pounds.
  • Ability to establish and maintain good working relationships.
  • Ability to maintain organized work area.

Qualifications:

  • High School diploma or equivalent.
  • General office work experience is required.
  • Generic Computer Skills.
